Closing Out TK

 

Closing the payroll week is an optional but recommended procedure. All Timecards that are balanced are flagged as "Closed" so that no inadvertent changes can be made. Timecard or Paycheck data will remain available for future read-only access; however, it can no longer be edited or deleted via the TK program..

To close a week, enter the TK program with the week ending date you wish to close and then select "Close Out" from the TK HOME MENU. A Dialog will appear. Press "OK" to begin the Close process.

NOTE: Closing a week closes all previous unclosed weeks as well.

About the Flags column:

Many CCS Tables have a column named "Flags." This column cannot be edited by the user within a CCS Module. Although each table may use the column differently, the tables of the TK and PAYROLL modules often use the following values to designate the status of a record.

Flag Value Meaning
0 un-coded, unused etc.
1 modified via unspecified means, state unverified etc.
2 modified, state verified (for Timecards, modified by Upload process.
3 balanced, completed etc.
4 closed, read only.
5 archived (detail removed),

Understanding these values can be helpful in producing reports, e.g. All Timecards that are Unbalanced can be achieved by setting the report criteria to: Flags < 3
